How Student Volunteers Make India’s Biggest College Festivals Happen

Published: October 7, 2026

Student Volunteers when we think about college festivals, we usually think about loud music, famous artists, competitions, food stalls, colorful decorations and thousands of students having fun. But behind all this excitement, there is another side of college fests which most people dont really notice. It is the side of student volunteers who are working almost everywhere, making sure that the whole event does not turn into complete chaos.

How Student Volunteers Run a college Festival:

From the outside, a college fest can look very easy. The stage is ready, the lights are on and the performers are there. But for the students organizing it, the work starts weeks and sometimes months before the actual fest. They have to plan events, contact participants, arrange sponsorships, promote the fest and manage registrations. Basically, while everyone else is waiting for the fest, volunteers are already living in it.One of the biggest responsibilities of Student volunteers is managing the crowd.

During popular college festivals, thousands of students can come to the campus. Student Volunteers are usually the ones standing at entry gates, checking registrations, helping people find venues and answering the same question multiple times. It might not sound like a huge job, but when hundreds of people are asking for directions at the same time, it can get stressful very quickly. There are also different teams working behind the scenes.

The hospitality team looks after guests and artists, the PR team handles communication and promotions, the creative team works on posters and social media, while the technical team makes sure that microphones, lights and screens actually work. Sponsorship teams also play a major role because organising a large fest requires money and resources. Even anchoring and backstage teams have to stay alert because one small mistake can affect the entire stage programme.

The funny thing is that volunteers rarely get to enjoy the fest like normal students. While everyone is dancing during a concert, a volunteer might be standing near the entry gate making sure nobody enters without a pass. While everyone is taking pictures with an artist, someone from the hospitality team might be busy making sure the artist reaches the green room safely. But volunteering is not just about doing work for free. It can actually give students experience which is difficult to get inside a classroom.

They learn how to communicate with different kinds of people, work in teams and deal with sudden problems. A student who was nervous about talking to strangers can end up confidently managing a crowd of hundreds of people after working at a few fests. And obviously, not everything goes according to plan.

Performers can get late, equipment can stop working, participants can get confused and schedules can change at the last minute. This is where volunteers have to think quickly instead of simply waiting for someone else to solve the problem. Sometimes the best skill a volunteer learns is simply how to stay calm when everything around them is going wrong.

Another important part is the friendships formed during these events. Student Volunteers spend long hours together, sometimes staying on campus from morning till late evening. The stressful moments, random jokes, running around the campus and solving problems together often become some of the best college memories.

So, the next time we attend a huge college fest and see a packed auditorium, a perfectly managed concert or a smooth competition, it is worth remembering the students standing behind it all. The celebrities might be the face of the fest, but the student volunteers are the people who keep it moving.

A successful college festival is not created only on the stage. It is created through hundreds of small tasks happening behind it. And most of the time, the people doing those tasks are students just like us.
